Freight Forwarder

Feel free to nominate any forwarding agent of your choice for the transportation of the exhibition goods to and from the exhibition grounds. We recommend using the official distributor for the SEPAWA Congress.

For insurance reasons, for on-site handling we have contracted a forwarding agent who exercises the sole lifting rights on the exhibition grounds. The provision of fork lift trucks and personnel is exclusively reserved to this forwarding agent. This means that the supply of personnel and equipment may only be booked through this agent.

Customs Clearances

Our freight forwarder is happy to take care of customs clearances for you. Prices are available upon request.

Surcharges and Ancillary Costs

Upper floor surcharge 15%
Service charge incl. proportional costs for forwarding insurance 35€/order

Payment Options

After receipt of the completed order form, the following payment options are available to you:

  • by invoice (with payment due no later than 2 weeks after receipt of invoice)
  • payment in advance
  • cash payment in Euros on site

Shipping Guidelines

Deliveries may only be made “free domicile/freight paid”.

Shipments of customs goods will be accepted at the warehouse in BERNAU only.

Shipments arriving outside of the designated times will be charged at a surcharge of 20% on the standard haulage rate.

A written notification (per mail or fax) for the respective shipment must be submitted at least 3 days prior to delivery.

Direct courier deliveries to the booth can only run safely and smoothly if a staff member is present at goods reception. The organizer, operator and freight forwarder cannot assume responsibility for shipments which have been set aside or lost.

Our official trade fair transport company is happy to take on your courier shipment in line with the standard forwarding rate.

For safety and insurance reasons, empty goods must not be stored behind booths or in the loading yards. Any empties you may have can be stored with the shipping company. Upon booking with them, you will be issued labels designated as “empty goods”.

We cannot assume liability for any materials left in the empty goods packaging.

For our handling on exhibition ground, all terms and conditions of the exhibition coorporation apply. We work on a basis of the General German Forwarding Conditions (ADSp). We accept orders exclusively on the basis of the German Forwarders Standard Terms and Conditions – ADSp – latest edition. We wish to draw your attention to the fact, that according to art. 23 of the ADSp, the liability of the freight forwarder for loss and/or damage to goods is limited to €10.- per kg of the gross weight of the consignment in normal cases. For a contract on multimodal transit as well as for mayor losses a further limit of 2 special drawing rights per kg respectively €1.0 Mio each occurrence or €2.0 Mio for all claims in aggregate in connection with the same occurrence – whichever is higher – applies.
